In providing mortgage brokerage and financing advisory services across Ontario, GMG Broker Inc. (“GMG Broker”, “we”, “us”, or “our”) collects personal and financial information necessary to assess your eligibility and secure financing on your behalf. This includes:
- Identification & Contact Details: Full legal name, residential address, telephone number, email address, date of birth, government-issued photo ID, and Social Insurance Number (optional, used for credit bureau verification where authorized).
- Employment & Income Information: Employer details, job title, tenure, pay stubs, T4 statements, Notices of Assessment (NOAs), corporate financial statements, and business documentation for self-employed applicants.
- Financial Profile: Banking records, bank statements, existing debts, credit history, investment holdings, and down payment confirmation.
- Property & Transaction Details: Agreements of Purchase and Sale, property tax statements, existing mortgage contracts, MLS listings, and appraisal documentation.
2. Purposes of Collection and Use
We collect, use, and process personal information exclusively for the following operational and regulatory purposes:
- Evaluating borrowing capacity, debt servicing ratios, and mortgage affordability.
- Identifying suitable mortgage products from chartered banks, credit unions, monoline lenders, trust companies, and private capital providers.
- Submitting completed loan files to prospective lenders for underwriting, rate commitment, and funding.
- Fulfilling mandatory regulatory compliance, identity verification, anti-money laundering (AML) protocols, and suitability assessments under the Mortgage Brokerages, Lenders and Administrators Act, 2006 (MBLAA).
- Communicating file milestones, closing conditions, and ongoing client service updates.
3. Consent
We obtain express consent (electronically or in writing) prior to collecting, using, or disclosing your personal and credit information. By submitting an application, inquiry form, or consent authorization with GMG Broker, you authorize us to collect, verify, and transmit your data to lenders and service providers strictly for arranging mortgage financing. You may withdraw consent at any time subject to contractual and legal record-keeping obligations.
4. Disclosure to Lenders and Service Providers
To arrange mortgage financing, your information may be disclosed to:
- Prospective Lenders: Canadian chartered banks, credit unions, monoline lenders, mortgage investment corporations (MICs), and private capital desks reviewing your mortgage application.
- Mortgage Default Insurers: Canada Mortgage and Housing Corporation (CMHC), Sagen, and Canada Guaranty when high-ratio or default insurance is required.
- Legal & Settlement Professionals: Closing real estate lawyers, title insurance providers, and appraisal management companies involved in funding your transaction.
- Technology Service Providers: Secure mortgage origination, CRM, and intake software vendors who process information solely on our instructions. We never sell personal information to third-party marketing companies.
5. Credit-Reporting Agencies
With your written or electronic authorization, GMG Broker Inc. and prospective lenders may obtain consumer credit reports and scores from recognized credit reporting agencies (such as Equifax Canada and TransUnion Canada). Credit inquiries are conducted solely to evaluate creditworthiness, verify liabilities, and satisfy lender underwriting criteria.
6. Storage and Processing Outside Canada
GMG Broker Inc. uses reasonable administrative, technical and physical safeguards to protect personal information. Information may be processed or stored by service providers in Canada or other jurisdictions and may be subject to the laws of those jurisdictions. In certain circumstances, courts, law enforcement agencies, or regulatory bodies in those foreign jurisdictions may be entitled to access your personal information in accordance with applicable foreign legislation.
7. Security and Retention
We implement industry-standard administrative, physical, and technological security measures, including SSL encryption, secure access credentials, restricted file permissions, and firewall protections to prevent unauthorized access, disclosure, or misuse.
In accordance with Ontario mortgage brokerage regulations, relevant transaction records are generally retained for at least six years after the mortgage or transaction expires. For an unfunded file without an expiry date, records are retained for at least six years from the date they were created. Following mandatory statutory retention, records are securely shredded or digitally wiped.
8. Access, Correction and Withdrawal of Consent
You have the right to request access to the personal information GMG Broker holds about you, verify its accuracy, and request corrections if any details are incomplete or outdated. You may also withdraw your consent to ongoing processing, subject to legal or contractual limitations and the understanding that withdrawal may prevent us from arranging your mortgage financing.
9. Cookies and Analytics
Our website may use standard session cookies and analytical tools to enhance navigation, monitor site performance, and improve user experience. Cookies do not extract confidential financial information from your computer. You can adjust your browser settings to refuse cookies, though certain interactive features (such as calculators or intake forms) may function with reduced capabilities.
